Each developing company reaches a certain point in which there is a rapid increase in data generated inside and outside of the organization. It was no different in the case of the OVER Group. In our case, it resulted from the development of the product offer, an increase in the value of sales, the number of Customers, invoices and employees. Facing new challenges, we decided to implement an IT system for sales management in the Company. A system that is responsible for data integration, analysis and processing.
Over Group has branches not only in Poland, but also in India, which entails the necessity of ongoing access to reliable data, updated in real time, without it making the right decisions, both at the strategic level and in daily duties, at various levels not it would be possible. The need for efficient management and quick access to data meant that at OVER Group we developed our own software combining CRM and ERP elements. Together with an IT team of several people, using 20 years of experience in sales management, in close cooperation with the sales team, we have created the Business Management System (BMS).
When creating our own system, we wanted the program to be made-to-measure – this allows us not only to propose a solution that can be easily adapted to the needs of recipients, but also to expand along with the development of the organization, implement new functionalities and simplify interfaces. The entire system is based on modules that can be easily adapted to individual groups of BMS system users. We wanted it to be user-friendly. We assumed that each user should be able to individually, quickly and conveniently generate reports tailored to their own needs and efficiently enter data (orders generated by sales teams, information on products, photos, etc.). We wanted the program to have an extensive statistics module that would allow for quick data analysis.
Nowadays it is very important that the tools we use on a daily basis are mobile. This is the BMS. Managing the company and sales must be possible from anywhere in the world, from any device – we do not always have access to a desktop computer. Access to the system is possible via a browser, and the responsive design allows trouble-free operation on tablets and smartphones. The data is placed in the Amazon cloud, which ensures its security, and employees have access to information 24 hours a day, seven days a week. Using the mobility, BMS enables real-time data analysis from various areas. Data and reports are presented in a clear and simple form. We are able to predict upcoming events and prepare for them accordingly. It is also very important to be able to create and develop a customer base, including the use of geolocation mechanisms, which allows for more effective and efficient planning of commercial visits.

This is just a small part of the BMS capabilities. The system that changed the reality of OVER Group was tested by managers managing the Company’s sales process. Then, a decision was made to implement the system in the smallest sales team of our company, we conducted appropriate training. Currently, all employees use the BMS software. The program improved work efficiency, lowered the costs of running a business and thus increased profits. When creating our own software, we paid attention to its ease of use, the possibility of using predefined and personalized statistics, low implementation costs and the possibility of using the program also on mobile devices. For Over Group it brought measurable benefits, now we are ready to go out with our program to external clients. We not only offer a great tool, but also share our experiences. We believe we can still go up.
